HIYA HOLDING LLC ("we," "us," "our," or "the Company") is a merchant wholesaler of nondurable goods operating across six product divisions: agricultural chemicals and farm supplies; books and publications; florist and nursery products; tobacco products; paints and painting supplies; and general nondurable merchandise. We are headquartered at 1208 LEXI CT, SAN MARCOS, 92078, United States.
This Privacy Policy describes how we collect, use, disclose, retain, and protect information in the course of our merchant wholesaling business. It applies to suppliers, manufacturers, growers, buyers, retailers, dealers, transport providers, service partners, and any individual or entity that interacts with us through our website, by phone, by email, or in the course of a trade.
Because we trade across diverse product lines — including regulated categories such as agricultural chemicals and tobacco products — this policy addresses the specific data flows that arise in merchant wholesaling, not just generic website data. We have written it to be clear and specific so you understand exactly what we do with your information.
If you have questions about this policy or about how we handle your information, you can contact us using the details in Section 14 below.
We collect information that is necessary to source, verify, contract, transport, and deliver goods, and to operate our business in compliance with applicable law. The categories of information we collect include:
When a supplier, manufacturer, or grower offers product for sale, we collect the name of the supplier or operation, contact details, product specifications, quantity, condition, and any documentation that accompanies the product — such as safety data sheets for chemicals, certificates of analysis, or origin declarations.
When a buyer, retailer, or dealer requests a quote or places an order, we collect the buyer's name, company, contact details, delivery location, product requirements, volume, timing, and any contract terms discussed.
For every trade, we record the product, specifications, quantity, origin, chain of custody, transport details, contract terms, price, and payment records. This information is the core of our merchant wholesaling operation and is retained for accounting, audit, and regulatory purposes.
For regulated products — including agricultural chemicals (pesticides, herbicides, fungicides, insecticides) and tobacco products — we collect licensing information, compliance documentation, and any records required by the authorities that govern those products in the relevant jurisdiction.
When you contact us through our website, by email, or by phone, we collect the name, company, email address, phone number, division of interest, role (supplier or buyer), and the content of your message. We also collect basic technical information such as IP address and browser type when you visit our website.
To process trades and payments, we collect bank account details, payment instructions, and transaction records. We do not store full card numbers on our systems. Payment processing is handled through banking and payment partners under their own security and privacy controls.
We use the information we collect to operate our merchant wholesaling business — to source, verify, contract, transport, and deliver goods across our six product divisions. Specifically, we use information to:
We do not sell your personal information to third parties. We may share information as described in Section 5 below, but we do not treat personal information as a commodity to be monetized.
To the extent we process personal data of individuals located in the European Economic Area, the United Kingdom, or other jurisdictions with similar data protection laws, we rely on the following legal bases:
We share information with third parties only as necessary to operate our business, fulfill contracts, comply with the law, and deliver product. The categories of recipients include:
We share product information, origin, destination, and handling requirements with trucking companies, rail carriers, and intermodal providers who transport the goods we trade.
We may share product information with independent inspectors or laboratories who verify quality, specifications, or compliance on our behalf or on behalf of a buyer.
We share payment and transaction information with banks and payment processors to execute payments to suppliers and invoices from buyers.
We disclose information as required by agricultural chemical regulators, tobacco licensing authorities, customs, tax authorities, and other regulators with jurisdiction over our trades.
We share information with insurers who underwrite our trades and with auditors who verify our records, under appropriate confidentiality controls.
In the event of a dispute over specifications, delivery, or payment, we may share information with legal advisors, arbitrators, or courts as necessary to resolve the matter.
If we reorganize, merge, or sell all or part of our business, we may transfer information to the successor entity, subject to the protections of this policy.
We retain information for as long as necessary to operate our business, fulfill contracts, comply with legal obligations, and resolve disputes. The retention periods that apply include:
When information is no longer needed, we delete it or render it de-identified, subject to any legal hold or retention requirement that applies.
We protect information using administrative, technical, and physical safeguards appropriate to the sensitivity of the data and the scale of our operation. These safeguards include:
